Summary. ALCO GROUP LLC ("Prosabe") collects the information needed to run your account and the Service, and processes the content you put into Prosabe on behalf of your business. We do not sell your personal information, we do not use it for targeted advertising, and we do not use your content to train AI models. Your messages to the AI features are sent to our AI and automation providers only to generate responses. You can access, correct, export or delete your data; see Section 10 for the rights that apply where you live.

1. Who We Are and Scope

1.1. This Privacy Policy explains how ALCO GROUP LLC, a Wyoming (United States) limited liability company with its address for legal notices at 30 N Gould St, Sheridan, WY 82801, USA, doing business as Prosabe and formerly as Optimo Education ("Prosabe", "we", "us"), collects, uses, shares and protects personal information when you use prosabe.com, optimoeducation.com, the Prosabe web application, the Prosabe WhatsApp assistant, our API and related services and digital products (the "Service").

1.2. Our roles.

  • Controller. We are the controller (or "business", "responsable" or "responsable del tratamiento", depending on the law) of the personal information we process to provide and manage accounts, billing, security, support, our websites and our own communications.
  • Processor. When a business customer uses Prosabe, the personal information its users and Members put into SOPs, comments, images, questions and other content ("Customer Content") is processed by us on behalf of that customer, which is the controller. That processing is governed by our agreement with the customer and our Data Processing Agreement. If you are a Member of a customer's team and have questions about how that customer uses your information, please contact the customer directly; we will assist them in responding.

1.3. Capitalized terms not defined here have the meaning given in our Terms of Service.

4. Artificial Intelligence

4.1. How the AI features work. When you use the SOP chat, the operational assistant, AI editing, document import, business analysis, team intelligence or the WhatsApp assistant, the content needed for your request is sent to our AI model provider, Anthropic PBC (United States), and, for the SOP chat and WhatsApp assistant, through our workflow automation provider n8n (n8n GmbH, Germany). Depending on the feature, this may include your message, relevant SOPs, your company profile, previous messages in the conversation, and your name.

4.2. No training. Under Anthropic's commercial terms, data sent through its API is not used to train its models and is retained by Anthropic only for a limited period for trust-and-safety purposes before deletion. We do not use your Customer Content to train any AI model.

4.3. No automated decisions with legal effects. We do not use AI or other automated processing to make decisions about you that produce legal or similarly significant effects. AI Output is a draft for human review.

4.4. Transparency. Responses produced by the AI features are generated automatically by artificial intelligence. They may be inaccurate and should be reviewed by a person before you rely on them.

You may request a copy of the relevant safeguards by writing to privacy@prosabe.com.

7. Data Retention

We keep personal information only for as long as necessary for the purposes described in this policy, unless a longer period is required or permitted by law.

Inactive free accounts May be deleted after 12 months of inactivity, following at least 30 days' notice.

8. Security

We use technical and organizational measures designed to protect personal information, including encryption in transit (HTTPS/TLS); encryption at rest provided by our infrastructure providers; database row-level security policies that restrict each user to the data they are authorized to access; hashing of passwords and API keys; role-based access within teams; server-side verification of sessions for AI features; limits on the content returned through public links; restricted administrative access; and payment processing through PCI DSS-compliant Stripe. No system is completely secure; if we become aware of a personal data breach affecting you, we will notify you and the competent authorities as required by law.

9. Your Choices

  • Account and content. You can view, edit, export (Word/PDF) and delete your SOPs and update your profile in the Service at any time, and delete your account from Settings.
  • Emails. You can unsubscribe from newsletters and marketing emails using the link in each email. We will still send you transactional and legal messages while you have an account.
  • WhatsApp. Ask your Account Owner, or write to support@prosabe.com, to remove your phone number from the WhatsApp assistant.
  • Cookies. See our Cookie Policy.
  • Global Privacy Control. We do not sell or share personal information for targeted advertising, so there is nothing to opt out of; we nevertheless treat a Global Privacy Control signal as a valid opt-out request where the law requires it.

10. Your Privacy Rights

Depending on where you live, you may have some or all of the following rights. To exercise them, email privacy@prosabe.com from the email address associated with your account (or provide enough information for us to verify your identity). We will respond within the period required by the applicable law and will not discriminate against you for exercising your rights. If your request concerns Customer Content controlled by a business customer, we will forward it to that customer.
